Welcome to CaseCore Management, operated by Alcin Technology LLC. These Terms of Service ("Terms") govern your access to and use of our AI-powered case management platform and related services. By accessing or using CaseCore Management, you agree to be bound by these Terms.

1. Acceptance of Terms

By creating an account, accessing, or using any part of CaseCore Management (the "Service"), you accept and agree to be bound by these Terms. If you do not agree to these Terms, you may not access or use the Service.

These Terms apply to all users of the Service, including organizations, administrators, team members, and consortium partners. If you are using the Service on behalf of an organization, you represent that you have the authority to bind that organization to these Terms.

2. Description of Service

CaseCore Management is a cloud-based, AI-powered case management platform designed for government agencies, legal firms, healthcare organizations, and other enterprises. The Service provides:

  • Case and task management tools
  • AI-powered case summaries and intelligent insights
  • Document management and collaboration features
  • Team collaboration with role-based access control
  • Inter-agency consortium partnership capabilities
  • Email notifications and activity tracking
  • Integration capabilities with third-party services
  • Customizable workflows and reporting

We reserve the right to modify, suspend, or discontinue any aspect of the Service at any time, with or without notice. We will not be liable to you or any third party for any modification, suspension, or discontinuation of the Service.

3. Account Registration and Security

3.1 Account Creation

To use the Service, you must create an account by providing accurate, complete, and current information. You agree to:

  • Provide truthful and accurate registration information
  • Maintain and promptly update your account information
  • Keep your password secure and confidential
  • Notify us immediately of any unauthorized access to your account
  • Accept responsibility for all activities that occur under your account

3.2 Organizational Accounts

When you create an organizational account (tenant), you become the account administrator with the ability to invite team members, manage access, and configure settings. You are responsible for:

  • Managing user access and permissions within your organization
  • Ensuring your team members comply with these Terms
  • Maintaining the security of your organization's data
  • All activities performed by users within your organization

3.3 Eligibility

You must be at least 18 years old to use the Service. By using the Service, you represent and warrant that you meet this age requirement.

4. Subscription Plans and Billing

4.1 Subscription Tiers

CaseCore Management offers multiple subscription tiers with different features, usage limits, and pricing. Specific plan details, features, and pricing are available on our website and may be updated from time to time. We will provide notice of any material changes to your subscription plan.

4.2 Billing

Paid subscriptions are billed in advance on a monthly basis. By subscribing to a paid plan, you authorize us to charge your payment method on a recurring basis. You agree to:

  • Provide valid payment information and keep it up to date
  • Pay all fees when due
  • Be responsible for all taxes associated with your subscription

4.3 Plan Changes and Cancellation

You may upgrade or downgrade your subscription at any time. Changes take effect at the start of the next billing cycle. If you cancel your subscription:

  • You will retain access until the end of your current billing period
  • No refunds will be provided for partial months
  • Your data will be retained according to our data retention policy
  • You may be downgraded to the Free plan or have limited access to your data

4.4 Free Trial

We may offer free trials for certain subscription plans. At the end of the trial period, you will be automatically charged for the subscription unless you cancel before the trial ends.

4.5 Price Changes

We reserve the right to change our prices at any time. Price changes will apply to new subscriptions and renewals. We will provide at least 30 days' notice before any price change affecting your subscription.

5. Acceptable Use

You agree to use the Service only for lawful purposes and in accordance with these Terms. You agree NOT to:

  • Use the Service in any way that violates applicable laws or regulations
  • Upload or transmit viruses, malware, or any malicious code
  • Attempt to gain unauthorized access to any part of the Service or other users' accounts
  • Interfere with or disrupt the Service or servers/networks connected to the Service
  • Use automated systems (bots, scrapers, etc.) to access the Service without our permission
  • Reverse engineer, decompile, or disassemble any aspect of the Service
  • Remove, obscure, or alter any copyright, trademark, or proprietary notices
  • Use the Service to store or transmit infringing, libelous, or unlawful material
  • Impersonate any person or entity or misrepresent your affiliation
  • Resell, sublicense, or otherwise make the Service available to third parties

6. AI-Powered Features

6.1 AI Summary Generation

CaseCore Management uses artificial intelligence, including third-party AI services (such as OpenAI), to generate case summaries and provide intelligent insights. By using these features, you acknowledge and agree that:

  • AI-generated summaries are provided for informational purposes only
  • You should review and verify all AI-generated content before relying on it
  • We do not guarantee the accuracy, completeness, or suitability of AI-generated content
  • AI features may not be available for all subscription tiers
  • Your case data may be processed by third-party AI providers in accordance with our Privacy Policy

6.2 Limitations of AI

AI-generated content should not be considered as legal advice, medical advice, or professional counsel. You acknowledge that AI systems may occasionally produce inaccurate, incomplete, or biased outputs. You are solely responsible for decisions made based on AI-generated content.

6.3 Usage Tracking

We track AI feature usage including token consumption and generation frequency. Excessive usage that impacts system performance may be subject to rate limiting or additional charges.

7. Data Ownership and Intellectual Property

7.1 Your Data

You retain all ownership rights to the data you upload, create, or store using the Service ("Your Data"). By using the Service, you grant us a limited license to:

  • Store, process, and display Your Data as necessary to provide the Service
  • Use Your Data to generate AI summaries and insights
  • Create anonymized, aggregated statistics for service improvement
  • Back up Your Data for disaster recovery purposes

7.2 Our Intellectual Property

The Service, including its software, features, functionality, and all related intellectual property rights, is owned by CaseCore Management or our licensors. These Terms do not grant you any right, title, or interest in the Service except for the limited right to use it as specified in these Terms.

7.3 Feedback

If you provide us with feedback, suggestions, or ideas about the Service, you grant us an unlimited, perpetual, irrevocable license to use, modify, and incorporate such feedback without any obligation to you.

8. Consortium and Inter-Agency Collaboration

8.1 Partnership Features

CaseCore Management enables organizations to form consortiums and share cases across agencies. When you participate in a consortium:

  • You may share case data with partner organizations as configured
  • Partner organizations may assign tasks to your team members
  • Shared data is subject to the access controls and permissions you configure
  • You are responsible for ensuring you have authority to share data with partners

8.2 Data Sharing Responsibility

When sharing data with consortium partners, you represent and warrant that:

  • You have the legal right to share such data
  • Sharing does not violate any applicable laws, regulations, or third-party rights
  • You have obtained necessary consents for data sharing where required
  • You will configure appropriate access controls and permissions

8.3 Termination of Partnerships

Either party may terminate a consortium partnership at any time. Upon termination, access to shared data will be revoked according to the configured partnership settings.

9. Third-Party Integrations

The Service may integrate with third-party services and applications. Your use of third-party integrations is subject to the respective terms and conditions of those third parties. We are not responsible for:

  • The availability, functionality, or performance of third-party services
  • Data shared with or stored by third-party services
  • Costs or charges imposed by third-party services
  • Security or privacy practices of third-party services

Some integrations may require upgraded subscription plans. We reserve the right to add, modify, or discontinue third-party integrations at any time.

10. Privacy and Data Security

Your privacy is important to us. Our collection, use, and protection of your personal data is governed by our Privacy Policy, which is incorporated into these Terms by reference.

We implement industry-standard security measures including:

  • End-to-end encryption for data in transit and at rest
  • Multi-tenant data isolation using Row-Level Security (RLS)
  • SOC 2 compliance and regular security audits
  • Role-based access control (RBAC)
  • Activity logging and monitoring

However, no method of transmission or storage is 100% secure. While we strive to protect your data, we cannot guarantee absolute security.

11. Disclaimer of Warranties

THE SERVICE IS PROVIDED "AS IS" AND "AS AVAILABLE" WITHOUT WARRANTIES OF ANY KIND, EITHER EXPRESS OR IMPLIED, INCLUDING BUT NOT LIMITED TO WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, AND NON-INFRINGEMENT.

We do not warrant that:

  • The Service will be uninterrupted, secure, or error-free
  • Defects will be corrected
  • The Service or servers are free from viruses or harmful components
  • Results obtained from the Service will be accurate or reliable
  • AI-generated content will meet your requirements or expectations

Your use of the Service is at your sole risk. You are solely responsible for any damage to your computer system or loss of data resulting from use of the Service.

12. Limitation of Liability

TO THE MAXIMUM EXTENT PERMITTED BY LAW, ALCIN TECHNOLOGY LLC, CASECORE MANAGEMENT, AND THEIR RESPECTIVE OFFICERS, DIRECTORS, EMPLOYEES, AGENTS, AND AFFILIATES SHALL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, INCLUDING BUT NOT LIMITED TO LOSS OF PROFITS, DATA, USE, GOODWILL, OR OTHER INTANGIBLE LOSSES.

Our total liability to you for all claims arising from or related to the Service shall not exceed the amount you paid us in the 12 months preceding the claim, or $100, whichever is greater.

Some jurisdictions do not allow limitations on implied warranties or limitations of liability for incidental or consequential damages. In such jurisdictions, our liability will be limited to the maximum extent permitted by law.

13. Indemnification

You agree to indemnify, defend, and hold harmless Alcin Technology LLC, CaseCore Management, and their respective officers, directors, employees, agents, and affiliates from any claims, liabilities, damages, losses, costs, or expenses (including reasonable attorneys' fees) arising from or related to:

  • Your use or misuse of the Service
  • Your violation of these Terms
  • Your violation of any rights of another party
  • Your Data and any claims related to it
  • Your participation in consortium partnerships and data sharing

14. Termination

14.1 Termination by You

You may terminate your account at any time by contacting us or using the account deletion features in your settings. Upon termination, your subscription will be canceled and you will lose access to the Service at the end of your current billing period.

14.2 Termination by Us

We may suspend or terminate your access to the Service immediately, without prior notice or liability, for any reason, including if you:

  • Breach these Terms
  • Fail to pay fees when due
  • Engage in prohibited conduct
  • Request termination

14.3 Effect of Termination

Upon termination:

  • Your right to access and use the Service will cease immediately
  • We may delete Your Data after a reasonable retention period (typically 30 days)
  • You remain responsible for all charges incurred before termination
  • Sections of these Terms that should survive termination will remain in effect

15. Changes to Terms

We reserve the right to modify these Terms at any time. When we make changes, we will:

  • Update the "Last updated" date at the top of this page
  • Notify you via email or through the Service
  • Provide at least 30 days' notice for material changes

Your continued use of the Service after changes take effect constitutes acceptance of the modified Terms. If you do not agree to the changes, you must stop using the Service and may terminate your account.

16. Governing Law and Dispute Resolution

16.1 Governing Law

These Terms shall be governed by and construed in accordance with the laws of the State of Delaware, United States, without regard to its conflict of law provisions.

16.2 Dispute Resolution

For any dispute arising from these Terms or the Service, you agree to first contact us to attempt informal resolution. If the dispute cannot be resolved informally within 30 days, either party may initiate binding arbitration.

16.3 Class Action Waiver

You agree that disputes will be resolved on an individual basis only, and not as a class action or consolidated proceeding.

17. General Provisions

Entire Agreement: These Terms, together with our Privacy Policy, constitute the entire agreement between you and Alcin Technology LLC d/b/a CaseCore Management regarding the Service.

Severability: If any provision of these Terms is found to be unenforceable, that provision will be limited or eliminated to the minimum extent necessary, and the remaining provisions will remain in full effect.

Waiver: Our failure to enforce any right or provision of these Terms will not be considered a waiver of those rights.

Assignment: You may not assign or transfer these Terms or your account without our prior written consent. We may assign these Terms without restriction.

Export Control: You agree to comply with all applicable export and re-export control laws and regulations.
